Why?

In wedding season, double-booking a hall, digging through a notebook to see who paid what deposit, or forgetting an instalment date costs a business dearly. The Booking Management System brings all of this onto one screen and works on phone and computer alike.

Who is it for?

  • Venues: wedding halls, henna venues, party / event houses, gardens, hotel and restaurant halls
  • Services: bands, DJs, photo / video, event planning, decoration / flowers, sound & light rental

Choose your business type when you first sign in; hall or team names, afternoon/evening sessions, event types and the special fields on the booking card (menu, song requests, shoot type…) are set up for you.

What's included?

  • Calendar: month, week, day and list views; click an empty day to start a booking
  • No double bookings: a hall that has an on-hold or confirmed booking can't take a second one at the same time; you see "free / taken" before saving
  • Booking card: customer, event type, session, guests, packages and extras, discount, notes and change history
  • Payment tracking: one-click deposit and instalment plan, payments, remaining balance, overdue list
  • Receipts: numbered payment receipts, downloadable as PDF or emailed to the customer
  • Customers: records, conversation notes, "how did they find us", WhatsApp button
  • Email reminders: a daily summary for you every morning; reminders for your customer 7 days before the event and 3 days before each instalment

Free and Premium

The free plan never expires and bookings are unlimited: 1 business, 1 hall / team, 1 user.

Premium (€19 per year, charged in TL at the day's rate): multiple halls / teams and branches, staff logins and permissions, hold deadlines (the date is released automatically when a hold expires), reports and Excel export, branded receipts and contract templates (customer, date, price and payment plan filled in automatically; PDF and email), customer links (your customer sees their booking, payments, receipts and contract without signing in) and song lists (filled in by the customer, printable for DJs and bands) and crew assignment (who works which job, their fee and what is still owed; warning for double bookings) and a public availability calendar (show your free dates on Instagram and your website; customer names and amounts stay hidden) date-based pricing (weekend, season and holiday prices applied to bookings automatically) delivery tracking (album, clip and photo deliveries with overdue warnings) and an accounting link (payments go to the customer's account card and your cash account in novapp Accounting in one click).

New members get all Premium features free for 30 days. When the trial ends you continue on the free plan; none of your data is deleted.

Status

The first version is ready and available right away with a novapp.com.tr account. Development continues with user feedback.

    Accounting link

    • Accounting link (Premium): if your novapp account also has Accounting, send the payments you take in Booking there in one click
    • A customer account card is created automatically; the payment is recorded on it and in the cash or bank account you choose
    • Cash, transfer and card payments can be matched to different accounts
    • A payment is never sent twice; if you delete a payment that was sent, its accounting record is deleted too

    Delivery tracking

    • Delivery tracking (Premium): record post-event deliveries such as albums, clips and digital photos with their planned dates
    • A stage for each delivery: waiting, in progress, ready, delivered
    • A one-click standard list for photographers: digital photos 14 days after the event, clip after 30 days, album after 45 days
    • Overdue deliveries appear as warnings on the home page and in the morning summary email
    • Your customer sees which stage their album is at from their own link

    Date-based pricing

    • Date-based pricing (Premium): set price rules for weekends, summer season, holidays and other periods
    • A rule applies to all packages or to one; it raises or lowers the price by a percentage or an amount, or sets a new price
    • When you add a package to a booking, that date's price fills in; change the date and the price difference is shown, updated in one click
    • If several rules fall on the same day, the one with the higher priority applies

    Public availability calendar

    • Public calendar (Premium): share your free dates with one link on Instagram, WhatsApp and your Google profile
    • Visitors see free, partly booked and booked days month by month; tapping a day shows which hall is free in which session
    • No customer names, amounts or other details are shown
    • One tap to ask about the selected date via WhatsApp
    • Embed it on your own website; renew the link or unpublish it any time

    Crew assignment and musician fees

    • Crew (Premium): save your musicians and staff once with their role and default fee
    • Assign crew to a booking; the fee fills in and can be changed per job. The crew cost and what's left after crew are shown
    • A warning when someone is already assigned to another job at the same time
    • Crew and fees page: month by month, who worked how many jobs, what was paid and what is still owed
    • Each crew member's upcoming jobs; send their schedule via WhatsApp in one click
